Receptionist for a Charity in front of house at a Community centre

1. To be the first port of call for telephone and face to face enquiries, meeting and greeting visitors, customers and suppliers in a professional manner and providing a welcoming environment, signposting and assisting visitors as required

2. To work closely with and ensure clear communication between colleagues to provide a smooth provision of service, handing over information as required to assist the transition between shifts

3. Opening and locking up of the two buildings and gates

4. To be responsible for key allocation by administering, signing in and signing out the keys for individual rooms, the business centre and the residential flats

5. Ensure that the reception area is kept clutter free and that a tidy desk policy is adhered to

6. Ensure that there is no unauthorised access to the building


7. To manage the bookings of Aston Mansfield s centres ensuring appropriate booking processes are followed and records maintained, including confirmation letters and booking terms and conditions

8. To be responsible for taking payments for bookings whether card, cash or cheque, issuing receipts as necessary, in line with Aston Mansfield s financial procedures

9. To manage and distribute accordingly all incoming post

10. To update notice boards to ensure they provide relevant and helpful information to visitors of the centre

11. To be responsible for aspects of health and safety, such as room checks prior to commencement of bookings to ensure the space is free from hazards, is clean and appropriate equipment is available

12. Assist with the stocking and maintenance of the stationery cupboards

13. Maintain up to date staff lists and internal telephone extension lists

14. To be flexible and able to cover a range of shifts, including evenings and weekends

15. Assist with general administrative tasks as may be required
